Privacy policy

In short

  • Your recordings, transcripts and notes are made and stored on your Mac. We never receive them. We have no server that holds meetings.
  • Audio never leaves your Mac. If you choose a cloud notes engine, the transcript text goes directly from your Mac to that provider, with your own key.
  • The app sends anonymous usage counts once a day. No content, no names. One switch turns it off.
  • When you buy, we get your email address so we can send your license key. Card details go to Razorpay only.
  • No account is needed. No advertising. We don’t sell or share personal data.

Who we are

MeetInk is made and sold by [LEGAL ENTITY NAME] (trading as DataOtto), [REGISTERED ADDRESS], [COUNTRY]. In this policy “we” and “us” mean DataOtto. For the small amount of personal data we do receive (purchases, support, usage counts, optional sign-in), we are the controller. You can reach us at hello@dataotto.com.

The app: what stays on your Mac

  • Audio. MeetInk records your microphone and the audio of the meeting app only (for example Zoom, Google Meet in a browser, Teams, Slack huddles or FaceTime). No bot joins your call.
  • Transcription and speaker separation run on your Mac. Voice features are computed on your Mac only to tell speakers apart within one meeting. They are not used to recognise people across meetings. Speakers are named by your notes engine from the calendar invite and what was said.
  • Your library. Recordings, transcripts, notes, Ask conversations and the search index are stored in ~/Library/Application Support/MeetInk (a SQLite database and one folder per meeting). The search index is built on your Mac with a model bundled in the app.
  • Settings and secrets. API keys, webhook links and sign-in tokens are stored encrypted on your Mac. See Security.
  • You can free the original audio of meetings in Settings → Storage, and delete meetings at any time. Deleting the app’s folder removes everything.

The app: what can leave your Mac, and when

Only the items below, and only in the situations described. Each is covered in its own section.

  • Transcript text and meeting context, to the notes engine you chose, if it is a cloud engine.
  • Anonymous usage counts, to Amplitude, unless you turn them off.
  • Requests to Google, if you connect Google Calendar or sign in with Google.
  • What an integration sends, if you set one up.
  • Update and configuration checks, and a one-time download of the speech models.

Notes engines

You choose how notes are written. With Ollama, a model runs on your Mac (or on a machine you point the app to) and nothing goes to the internet. With Google Gemini, Anthropic Claude or OpenAI, you enter your own API key and the app sends the request directly from your Mac to that provider. We are not in between and never see it.

A request contains the transcript text (never audio) and the context needed to write good notes: the meeting title and length, attendee names and, when the meeting comes from a calendar invite, invitees’ names and email addresses, plus any notes or bookmarks you added. Questions you ask with Ask, and the relevant passages from your meetings, are sent the same way.

That provider handles the data under its own terms and privacy policy. On Google Gemini’s free tier, Google may use what you send to improve its products; on the paid tier it says it doesn’t. Check your provider’s current terms. The app estimates your monthly spend on your Mac and can warn you about a budget; that estimate never leaves your Mac.

Anonymous usage statistics

On by default. Turn it off with one switch in Settings → Privacy, which also shows exactly what would be sent. About once a day the app sends one snapshot to Amplitude containing:

  • a random install ID created on your Mac (not linked to your email or license)
  • the app version and macOS version
  • the transcription engine and which notes engine you use (for example “gemini”), not the model
  • counts: meetings recorded, minutes recorded, notes written, questions asked
  • how often transcription and notes succeeded or failed, how often a model call was retried, and how often a long transcript was split into parts

It never contains audio, transcripts, note text, meeting titles, names, email addresses, contacts or calendar data. Like any internet request, it reveals your IP address to Amplitude.

Calendars

  • macOS calendars (optional, with your permission) are read on your Mac to name recordings, offer to record upcoming meetings and list invitees. Nothing is copied off your Mac by this.
  • Google Calendar (optional) connects through Google’s sign-in in your browser. The app asks for read-only access to your calendars and events, plus your email address to tell accounts apart. Events are fetched directly from Google to your Mac. You can disconnect in Settings, and revoke access in your Google account.

Optional sign-in

You can use MeetInk without an account. If you sign in with Google, the sign-in is handled by Google Firebase, and your account stores your email address, an account ID and your license key, so the license can be restored on another Mac. Nothing about your meetings is stored in the account.

Integrations

Nothing is sent until you set an integration up. Then the app sends only what that integration describes, directly from your Mac:

  • Markdown export: notes are written as files to a folder you choose. If that folder syncs (for example iCloud Drive or Dropbox), the sync service receives them.
  • Slack: a recap is posted to the Slack incoming webhook you entered.
  • Zapier, Make or n8n: the meeting is sent as JSON to the webhook link you entered.
  • Tickets and follow-up emails: GitHub, Linear and Jira tickets, and email drafts, are opened as prefilled pages in your browser or mail app. Nothing is created until you submit it there.

What happens to the data afterwards is governed by that service’s own terms.

AI-app connectors

If you connect Claude Desktop, Claude Code or Cursor, those apps start a small connector from MeetInk on your Mac that can read your library, read-only. It cannot change or delete anything. When those apps use what the connector returns, it becomes part of your conversation in that app and is sent to that app’s AI provider under its terms.

Updates and remote configuration

  • Updates: the app checks GitHub Releases for new versions every few hours and downloads them from there. This reveals your IP address and app version to GitHub.
  • Remote configuration: the app may fetch a small file of announcements and feature switches from us. It contains only data, never code, and the request sends nothing about you beyond what any web request does (your IP address).
  • Speech models: on first use the app downloads its speech models once from Hugging Face. No audio or personal data is sent.
  • Ollama: if you ask the app to install Ollama for you, it downloads it from Ollama’s releases on GitHub.

Purchases

Payments are processed by Razorpay. We receive your email address, the amount, the currency and the payment status. Card, bank and UPI details go to Razorpay only; we never see them. We use your email address to create and send your license key (through our email provider, Resend) and to answer you if you write to us. Your license key contains your email address so it can be checked offline. We don’t use it for marketing.

This website

This website has no advertising or analytics trackers and doesn’t set its own cookies. The checkout page loads Razorpay’s payment script, which may set cookies needed for payment and fraud prevention. Our host keeps standard server logs (such as IP address and pages requested) to run and protect the site. See the cookie policy.

Subprocessors

The few companies that receive data from us, what each receives and when, are listed on the subprocessors page. The AI providers you choose are not our subprocessors: you use them with your own key.

Legal bases

Where the law asks for one: we process purchase data to perform our contract with you and to meet tax and accounting duties; support emails and optional sign-in to provide the service you asked for; and anonymous usage counts and server logs for our legitimate interest in keeping the app reliable, which you can switch off for usage counts.

How long we keep data

  • Your meetings: on your Mac, until you delete them. We never hold a copy.
  • Purchase records (order, email, amount): as long as tax and accounting law requires.
  • Support emails: as long as needed to help you, then deleted when no longer useful.
  • Usage counts: kept in Amplitude to see trends over time. Because they are tied only to a random install ID, they can be deleted on request if you send us the ID shown in Settings → Privacy.
  • Sign-in account: until you ask us to delete it.

Your rights

Depending on where you live, privacy laws such as the GDPR (European Union), the UK GDPR, the California Consumer Privacy Act as amended by the CPRA, and India’s Digital Personal Data Protection Act give you rights over your personal data. These may include the right to:

  • know what we hold about you and get a copy
  • correct it, or have it deleted
  • object to or restrict some uses, and withdraw consent where we rely on it
  • receive your data in a portable form
  • not be treated differently for using these rights
  • appoint someone to act for you, and complain to your data protection authority

Write to hello@dataotto.com to use any of these. We’ll reply within a month, or sooner where the law requires. We may need to confirm you own the email address involved. We don’t sell or “share” personal data for advertising, as those words are used in California law. Your meetings never reach us, so most of what’s about you is already in your control on your Mac. You can export notes as Markdown and delete anything at any time.

If you have a complaint, write to us first at hello@dataotto.com and we’ll try to resolve it. You can also contact the data protection authority where you live.

Children

MeetInk is a work tool and is not meant for children. We don’t knowingly collect personal data from anyone under 16 (or the age of digital consent where you live, which is 18 in India). If you think a child has given us data, write to us and we’ll delete it.

International transfers

The companies that receive data from us may process it in other countries, including the United States. Where the law requires it, we rely on the safeguards those companies offer, such as standard contractual clauses. Your meetings are not transferred anywhere by us.

Changes to this policy

If we change this policy we’ll update it here and change the effective date. If a change affects what leaves your Mac, we’ll also say so in the app’s release notes before it applies.
