There is no single best meeting notes app. The right one depends on a few plain questions: will a bot in the call bother anyone, should your meetings live in a vendor's cloud or on your Mac, does your team need a shared library, and which languages do you speak. How to choose
Start with the questions that rule things out, then compare features.
- Bot or no bot. Some apps join the call as a participant; others record from your computer. A bot is visible to everyone and works even when you're not on the call. No bot is quieter, but it only records calls you are in — and you should still tell people you're taking notes (recording consent).
- Cloud or local. Most apps upload audio to their servers for transcription and store notes there. A few transcribe on your Mac. Check both where audio is processed and where notes are stored, and which AI writes the summary.
- Team sharing. If your team wants one shared, searchable library with permissions, a cloud product is the natural fit.
